Job Summary:The Human Resources Assistant is responsible for performing a wide variety of HR functions to support the organization’s mission, strategic goals, and compliance requirements. The Human Resources Assistant will assist with recruitment, payroll processing, benefits administration, compliance reporting, and other HR operational processes.Essential Duties:Conducts self professionally with truth, accuracy, fairness, and responsibility.Upholds the Core Values and Code of Conduct of the organization and commits to these standards in daily practice.Post open positions across multiple job boards and recruitment platforms.Review applications and screen candidates to identify qualified applicants.Conduct phone interviews and coordinate with hiring managers for next steps.Manage pre-employment screenings, including background checks and drug screens.Complete and track all new hire paperwork, ensuring compliance with legal and internal requirements.Facilitate employee orientation and onboarding to integrate new hires into the organization.Maintain candidate pipeline and follow-up communication to ensure positive candidate experience.Process biweekly payroll accurately and on schedule.Review employee timecards to identify and correct errors.Calculate and process mileage reimbursements and other adjustments.Allocate 403(b) deductions and ensure compliance with retirement plan rules.Track and process garnishments, child support orders, and other payroll deductions.Generate and distribute payroll-related reports to leadership, including overtime tracking and staffing cost analyses.Resolve payroll-related inquiries and discrepancies in a timely and professional manner.Serve as a point of contact for employees for all payroll related issues.Monitor training requirements to ensure compliance with organizational, CARF, and state standards.Deliver training classes, including new regulatory requirements, employee development, and leadership skills.Complete OSHA reporting and maintain accurate records of workplace injuries and incidents.Submit First Reports of Injury for workplace accidents.Ensure ACA compliance, including preparation and filing of ACA-related forms and reports.Prepare annual EEOC-1 reporting and other compliance filings.Assist with internal and external audits.Administer the leave of absence process, including FMLA and other non-FMLA medical leave.Communicate with employees and managers about eligibility, rights, and responsibilities.Manager workers’ compensation claims, including claim initiation, coordination with insurance providers, and return-to-work programs.Support benefits administration by answering employee questions and assisting the CHRO with open enrollment activities.Reconcile monthly HR invoices, including insurance carriers, benefit providers, and vendor services.Maintain accurate and up-to-date employee files, both electronic and physical.Participate in development and implementation of HR policies and procedures.Support diversity, equity, and inclusion (DEI) initiatives.Required Skills and Abilities:Excellent communication and interpersonal skills to effectively interact with employees at all levels.High attention to detail with strong organizational and time management skills.Proficiency with Microsoft Office Suite and HRIS platforms.Ability to handle sensitive and confidential information with discretion.Problem-solving mindset with the ability to work independently and collaboratively.Working Conditions:Primarily office-based with occasional travel for recruitment, training, or external meetings.May require extended hours during peak periods, such as payroll processing or open enrolment.Preferred Minimum Qualifications:Associate's degree in human resources, Business Administration, or related field preferred.Minimum of five (5) years of administrative assistant or related administrative experience, preferably in a role supporting a member of senior leadership.Experience with Paycom or similar HRIS/Payroll systems strongly preferred.
