You'll work closely with the Vice President of Human Resources and play an integral role in supporting both our administrative and field employees.
Position Summary
The HR Assistant provides administrative and operational support to the Human Resources department to ensure efficient and effective HR operations. This role supports recruitment, onboarding, employee records management, compliance, reporting, HR systems administration, and general HR operations while partnering closely with the Vice President of Human Resources on departmental initiatives and strategic projects.
The ideal candidate is highly organized, technology‑savvy, analytical, customer-focused, and eager to grow professionally into an HR Generalist role.
Talent Acquisition & Onboarding
- Post job openings on multiple recruitment platforms.
- Communicate with candidates throughout the hiring process.
- Conduct new hire orientation and onboarding sessions.
- Print employee identification badges.
- Complete employment background checks and employment verifications.
- Enroll new administrative and field employees into ADP, AxisCare, and other HR systems.
- Respond to applicant and employee questions regarding hiring, benefits, policies, and HR procedures.
- Support a positive onboarding experience from offer acceptance through orientation.
HR Administration
- Maintain accurate, organized, and confidential employee personnel files and HR records.
- Ensure the integrity and confidentiality of employee information.
- Process caregiver PTO uploads within ADP.
- Prepare and distribute new employee announcements.
- Process caregiver offboarding in ADP.
- Maintain HR forms, templates, and department documentation.
- Assist the Vice President of Human Resources with strategic initiatives, HR projects, reports, and special assignments.
- Support daily HR operations and administrative activities.
- Perform other HR-related duties as assigned.
HR Reporting & Data Management
- Generate and distribute recurring and ad hoc reports from ADP, AxisCare, Applicant Tracking Systems (ATS), Learning Management Systems (LMS), and other HR platforms.
- Analyze HR data to identify trends, ensure data accuracy, and support business decisions.
- Prepare weekly, monthly, quarterly, and annual HR reports for leadership.
- Maintain and reconcile employee data across multiple HR systems.
- Utilize Microsoft Excel to manipulate and analyze HR data, including functions such as VLOOKUP, XLOOKUP, Pivot Tables, filters, sorting, and basic formulas.
- Assist with HR metrics, dashboards, audits, and reporting projects.
- Ensure reporting accuracy and maintain data integrity across all systems.
Compliance
- Assist with compliance related to federal, state, and local employment laws.
- Complete I-9 processing and E-Verify requirements.
- Maintain compliance documentation and personnel records.
- Support HR audits and regulatory reporting.
- Maintain required labor law postings.
- Assist with employment background verification and compliance tracking.
Administrative Support
- Answer HR phone calls and respond to employee emails.
- Schedule meetings and prepare meeting materials.
- Maintain HR forms, templates, and departmental documentation.
- Prepare weekly and monthly departmental reports.
- Assist with cross-functional HR initiatives and special projects.
- Provide administrative support to the Vice President of Human Resources.
- Perform other duties as assigned.
Qualifications
Education
- High school diploma or equivalent required.
- Associate's degree in Human Resources, Business Administration, or a related field preferred.
Experience
- 1–2 years of Human Resources or administrative experience preferred.
- Experience with ADP Workforce Now or similar HRIS systems is preferred.
- Experience with AxisCare or similar workforce management software is a plus.
- Experience using Applicant Tracking Systems (ATS) such as Greenhouse, iCIMS, Lever, Workday Recruiting, SmartRecruiters, or similar platforms is strongly preferred.
- Experience with Learning Management Systems (LMS) such as Relias, Cornerstone, Docebo, TalentLMS, or similar platforms is desired.
- Experience preparing HR reports and working with employee data is preferred.
Knowledge, Skills & Abilities
- Working knowledge of Human Resources principles, employment practices, and employment laws.
- Excellent verbal and written communication skills.
- Outstanding organizational, time management, and multitasking abilities.
- Exceptional attention to detail and accuracy.
- Ability to maintain strict confidentiality while exercising sound judgment.
- Must be highly computer savvy and comfortable learning new software, HR systems, and technology platforms quickly.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.
- Intermediate to advanced Microsoft Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, sorting, filtering, and data analysis, are strongly preferred.
- Strong analytical and problem‑solving skills with the ability to interpret and report HR data accurately.
- Ability to generate reports, analyze workforce data, and maintain data integrity across multiple systems.
- Experience working with HRIS, ATS, LMS, and electronic personnel records.
- Excellent customer service and interpersonal skills.
- Self‑motivated with the ability to work independently and collaboratively.
- Must be a quick learner with the ability to adapt to changing priorities, new technologies, and evolving HR processes.
- Demonstrated desire to continuously learn, grow, and develop within the Human Resources profession, with the goal of advancing into an HR Generalist role.
- Eagerness to take on new responsibilities, participate in special projects, and contribute to the continued success of the HR team.
