Job summary

Sweetwater Care in Topeka, KS is seeking an HR and Payroll Clerk to join our rehabilitation team. You will manage full-cycle HR and payroll tasks, ensuring accuracy and regulatory compliance while supporting staff and residents.

The ideal candidate has 2+ years in HR and/or payroll, healthcare experience preferred, and proficiency with payroll software and timekeeping systems. Pay is based on experience, with opportunities for professional growth and compassionate, team‑focused culture.

Qualifications

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 2+ years of HR and/or payroll experience (healthcare or long-term care experience preferred).
  • Experience with payroll software and timekeeping systems.
  • HR certification (SHRM-CP, PHR) preferred.

Responsibilities

  • Manage full-cycle recruitment for nursing, clinical, and support staff.
  • Coordinate onboarding, orientation, and background checks.
  • Maintain employee files and ensure regulatory compliance.
  • Administer benefits, including health insurance, PTO, and retirement plans.
  • Track licenses and certifications for nursing staff.
  • Assist with employee relations matters and disciplinary documentation.
  • Ensure compliance with labor laws, wage regulations, and long‑term care requirements.
  • Support audits and surveys (e.g., state health department inspections).
  • Maintain OSHA and workplace safety documentation.
  • Process bi-weekly or semi-monthly payroll accurately and on time.
  • Maintain timekeeping systems and verify hours worked.
  • Calculate overtime, shift differentials, and holiday pay.
  • Ensure proper wage calculations in accordance with federal and state laws.
  • Manage payroll deductions, garnishments, and benefit contributions.
  • Reconcile payroll reports and resolve discrepancies.
  • Prepare payroll-related reports for management.
  • Coordinate with accounting for tax filings and reporting.
  • Ensure compliance with: Federal and state labor laws, FLSA regulations, Healthcare staffing requirements, HIPAA confidentiality standards.
  • Assist with workers’ compensation claims and unemployment claims.
  • Maintain accurate records for audits and regulatory reviews.

Education

HR and Payroll Clerk Responsibilities:

Human Resources

  • Manage full-cycle recruitment for nursing, clinical, and support staff

Qualifications

Education & Experience:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
  • 2+ years of HR and/or payroll experience (healthcare or long-term care experience preferred)
  • Experience with payroll software and timekeeping systems

Preferred Qualifications

  • Experience in a nursing home, assisted living, or healthcare setting
  • Knowledge of long-term care staffing regulations
  • HR certification (SHRM-CP, PHR) preferred
