Job summary

Loews Hotels & Co is seeking a Collections Coordinator to support billing, credit, and collections for a high-volume shared services environment across North America. You will work closely with hotel Sales, Events, and Finance to manage credit risk, deposits, and accurate documentation while upholding PCI and confidentiality standards.

Qualifications

• Minimum 2 years of billing and accounting/collections experience.
• 1-2 years customer-facing work experience in hospitality or finance.
• Ability to maintain confidentiality and communicate effectively in writing and verbally.
• Ability to organize workload, adapt quickly to change, and meet deadlines.
• Proficient in standard spreadsheet functions (MS Excel).

Responsibilities

• Create client master accounts in the hotel property management system.
• Review group sales and catering contracts for financial terms and payment schedules.
• Invoice advance deposits and ensure timely remittance by clients.
• Collect payments for advance deposits and services rendered.
• Complete invoicing, collections, and activity tracking in Smartsheet.
• Apply credit card payments in the PMS daily.
• Research disputes and resolve billing discrepancies with teams.
• Maintain Accounts Receivable Aging accuracy for assigned locations.
• Provide collection status updates to hotel and shared service leaders.
• Lead monthly meetings to review aged receivables and cash flow impacts.
• Provide reporting to hotel leaders for cash flow forecasting.
• Support continuous improvement projects within the department.
