Job summary

White Glove Community Care is seeking a Staffing Coordinator to join our fast-paced home care team in Brooklyn, NY. You will manage daily staffing for HHAs and PCAs, coordinate 15–20+ cases daily, and ensure timely coverage with a focus on quality and compliance.

Ideal candidates have 1+ year in staffing or scheduling, strong communication skills, and proven ability to multitask under pressure. Bilingual Spanish/English is highly preferred, with proficiency in HHA Exchange and Smartsheet a plus.

Qualifications

• 1+ year experience in staffing, scheduling, or coordination (home care strongly preferred)
• Proven ability to manage high-volume workload in a fast-paced environment
• Strong knowledge of home care operations, caregiver staffing, or scheduling logistics
• Experience with HHA Exchange, EVV systems, Smartsheet, Excel, or similar platforms
• Excellent communication, problem-solving, and organizational skills
• Ability to multitask, prioritize, and work under pressure
• Team-oriented with a positive, solution-driven mindset
• Bilingual (Spanish/English) strongly preferred

Responsibilities

• Coordinate daily staffing and scheduling for Home Health Aides (HHAs) and Personal Care Aides (PCAs)
• Manage high-volume case assignments (15–20+ cases daily)
• Maintain real-time communication with caregivers, patients, and internal teams
• Document case acceptance, refusals, and declinations accurately
• Respond quickly to schedule changes, and urgent coverage needs
• Ensure full case coverage while maintaining quality and compliance
• Utilize systems such as HHA Exchange, Smartsheet, Excel, and Outlook for tracking and reporting
• Provide a professional, supportive experience to both caregivers and clients
