Job summary

Program coordinators are seeking a part‑time activity facilitator in California to plan and announce start/end of the activity, craft digital and print flyers, and monitor attendance. The role includes coordinating with parents, arranging scheduling changes, and ensuring space setup and cleanup before and after sessions.

Advise student-athletes, coordinate practices, and assist with equipment, transportation, and safety considerations.

Qualifications

• Basic coaching and logistics coordination experience.

Responsibilities

• Plan announcements for start and end of activity and provide updates.
• Create digital and print flyers for newsletters and postings.
• Conduct morning and after-school announcements.
• Coordinate with parents via Parent Square or Email about schedule changes.
• Set up and clean the activity area; request custodial assistance as needed.
• Maintain roster and attendance; share mid-point and end-of-session reports.
• Recruit and organize track advisors, manage practices, running form, and transport logistics; ensure safety and teamwork.

Job description

• Marketing and communicating the activity:
• • Plan to announce both the start and the end of the activity and provide updates, as relevant.
  • Create digital (PNG/JPEG formats only) and print flyer(s) for the weekly newsletter and posting in designated spots.
  • Announcements (morning audio and for The Den)
• Regular meetings between either 7:00am - 8:00am or 3:00pm - 4:00pm (or later if applicable). Be in location prior to start. If after school, stay with all students until all are picked up.
• Communicate via Parent Square or Email with the parent of the club members regarding schedule, schedule changes and cancellations. Please give as much notice as possible when canceling and be sure this information is communicated to the parents, not just announced in the building.
• Setup and cleanup the area used for the activity.
• • Please request custodial assistance, with sufficient notice, when appropriate.
• Maintain roster and attendance of students, submit or share at midpoint and end of activity.
• Our track advisors are responsible for recruiting a diverse group of student-athletes, organizing practices and conditioning, and teaching proper running form and technique. If possible, they organize team meets and manage all logistical needs including equipment and transportation, and ensure the safety and well-being of all team members. They are also tasked with fostering sportsmanship and teamwork, managing equipment, and ensuring the safety of all participants. They coordinate and communicate with parents, the administration, and when appropriate with the track team coaches/advisors from other schools.

Minimum of 40 Hours

½ Stipend Paid in December, ½ Paid in June
