Job summary

Palomar is seeking an Accounts Payable Specialist to join our team in California. You will support high-volume AP activities, including invoice processing, coding, vendor management, reconciliations, 1099 preparation, journal entries, and payment processing.

The ideal candidate has at least two years of AP experience, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Qualifications

• 2+ years of Accounts Payable or related accounting experience.
• Bachelor’s degree in Accounting, Finance, or a related field.
• Strong understanding of Accounts Payable processes, general ledger accounting, and financial statements.
• Experience reconciling vendor statements and resolving discrepancies.
• Strong written and verbal communication skills.
• Proficient with Microsoft Office, particularly Excel and Outlook.
• Ability to work on-site Monday through Thursday (4 days per week).

Responsibilities

• Process a high volume of operating, premium accounting, refund, and commission requests, including voids and reissues.
• Manage high-volume vendor profile updates, including callback verifications for new vendors and changes to existing vendor information.
• Monitor the Accounts Payable mailbox and respond to requests from internal teams and external vendors.
• Obtain appropriate account coding and approvals and enter vendor invoices into the AP system.
• Process and apply AP payments and reconcile vendor statements.
• Support accounting activities across multiple lines of business and partners using established templates and processes.
• Perform CMA quarterly vendor reviews, escheatment activities, Positive Pay file reviews, and PLMRAP AP reconciliations.
• Prepare year-end 1099s and support related year-end AP activities.
• Prepare the daily cash report and assist with cash and payment-related processes.
• Support month-end close activities, including AP processing and reconciliations.
• Maintain organized AP records and file processed payments weekly.
• Research and resolve invoice, payment, vendor, and account discrepancies in partnership with vendors and internal teams.
• Assist with additional administrative tasks, accounting projects, and special assignments.
