Qualifications

• High school diploma or equivalent is required.
• 3+ years of administrative, scheduling, customer service, or related experience.
• Bilingual Spanish preferred.
• Familiarity with local healthcare providers and resources, or ability to develop quickly.
• Experience with electronic medical records (EMR) is preferred.
• Familiarity with medical terminology and insurance processes is a plus.

Responsibilities

• Coordinate and process inbound and/or outbound patient referrals following established procedures.
• Review orders, contact patients and offices, and assist with scheduling across VIPcare clinics.
• Coordinate patient scheduling with the assigned specialty practice and affiliated clinics.
• Verify patient demographics and insurance information and coordinate with carriers or internal teams to resolve issues.
• Communicate referral instructions and arrange appointment details with patients and providers.
• Exchange necessary medical records and documentation to facilitate care.
• Follow up on referrals, appointments, and documentation to ensure timely completion.
• Maintain accurate documentation of referral activities in the EMR and tracking systems.
• Monitor queues and reports to identify delays or issues and escalate as needed.
