Job summary

Physician Affiliate Group of New York (PAGNY) is seeking an Affiliate Operations Coordinator for the Manhattan Region. The role provides administrative support, maintains employee files, and ensures HR compliance while acting as a backup for the HR team.

The position involves onboarding, CME tracking, file audits, training compliance, and coordination of meetings and events. It requires an associate degree (or equivalent), 2–4 years in healthcare, and strong Microsoft Office skills.

Qualifications

• Associate degree preferred, or equivalent combination of education and/or training.
• At least 2-4 years’ experience in a healthcare setting.
• Proven ability to establish and maintain effective working relationships with all levels of staff.
• Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
• On site, in-office presence required.

Responsibilities

• Assist the HR team with onboarding, CME credits tracking, and related transactions in HRIS.
• Conduct file audits and follow up on missing documents and expired certifications.
• Manage training compliance, performance assessments, licensure, and exams.
• Maintain calendars and coordinate meeting logistics.
• Support leadership with meeting minutes, correspondence, and financial reports.
• Oversee conference room scheduling and related catering for events.
• Operate office inventory and report equipment or facility issues.
• Receive deliveries, sort mail, and handle outgoing documents.
• Prepare and review invoices and expense reports promptly.
