Job summary

VITAS Healthcare is seeking an Admissions Coordinator to streamline referral processing and scheduling, ensuring timely admissions and excellent customer service. You will work with multiple teams to dispatch resources and maintain data accuracy across systems.

Ideal candidates have 2+ years in a medical/administrative or call center setting, strong communication skills, and the ability to multitask in a fast-paced environment. Bilingual abilities are a plus; high school diploma required.

Qualifications

• Two or more years related experience in medical terminology and/or administrative, business office, or call center environment.
• Ability to attain goals in a fast-paced, dynamic environment.
• Superior communication in writing and speaking to provide concierge-level service.
• Typing speed of at least 45 words per minute and strong computer skills.

Responsibilities

• Process referrals to fit referral source needs and align with intake processes.
• Offer or confirm same-day appointments and manage timing to ensure timely admission.
• Attend morning check-in meetings and coordinate scheduling needs.
• Collaborate to ensure resources are available in the admission scheduling tool.
• Provide concierge level customer service in every interaction.
• Utilize Cisco Phone System and take inbound calls as needed.
• Communicate with Admissions, Care Connection Center, and Sales for dispatching resources.
• Support quality by monitoring and reviewing calls for training and feedback.
• Build rapport and maintain relationships with internal and external customers.
• Enter accurate information to support data integrity in systems.
• Respond to questions about services provided and escalate when needed.
• Participate in ongoing training and development in the evolving healthcare environment.
