Job summary

VITAS Healthcare in Pensacola, FL seeks an Admissions Coordinator to process referrals, schedule same-day appointments, and support the admissions team. You will maintain strong communication with referral sources and internal teams to ensure timely and accurate admissions.

The ideal candidate has medical terminology knowledge, administrative experience, and the ability to work in a fast-paced environment while delivering concierge-level customer service. Some bilingual Spanish/English is a plus.

Qualifications

• Two or more years related experience in medical terminology and/or in an administrative, business office, or call center environment.
• Ability to attain goals in a fast-paced, dynamic environment.
• Superior ability to effectively communicate at all levels of the customer interaction to include both verbally and in writing.
• Proficient with computers and typing at least 45 wpm.

Responsibilities

• Process referrals in the manner best fitting the needs of the referral source and in alignment with intake processes.
• Offers and/or confirms a same day appointment and/or close to requested time for timely admission.
• Participate in morning check in meetings to review staffing and scheduling needs.
• Collaborate with Director of Admissions to ensure resources are present in the admission scheduling tool.
• Provide concierge level of customer service in every interaction.
• Utilize Cisco Phone System and be ready to take inbound calls as needed.
• Communicate with Program Admissions, Care Connection Center Intake, and Sales for timely dispatch of resources.
• Ensure data integrity and accurate information in computer applications.
