Job summary

Hotel Irvine is seeking a Group Coordinator to handle reservations, rooming lists, suites and billing requirements while coordinating with Meeting Planners and Sales Managers. You will enter reservation details accurately and communicate changes with Catering Service managers.

Qualifications

• Prior Hotel Reservations or Group Rooms experience preferred.
• High ability to multitask with critical attention to detail.
• Excellent communication and organizational skills.
• Be a strong team player and partner with management and other employees in a professional manner.
• Respond to hotel emergency or safety situation based on hotel standards.
• Great attendance record.
• Able to work efficiently under pressure and complete set deadlines.

Responsibilities

• Enter group reservation information including dates, room types, and billings.
• Interact daily with Catering Service managers, keeping up-to-date on changes.
• Build and monitor group masters, cutoff dates and group cancellations.
• Releasing any unused rooms at the determined time.
• Work with Catering Service managers and meeting planners in pre-blocking group rooming lists prior to arrival.
• Prepare weekly pick up reports.
• Assist Reservation agents with overflow phone calls.
• Understand and respond to all guest needs and requests in a timely and professional manner.
• Resolve all guest complaints/concerns in a diplomatic and effective manner, utilizing all available resources to satisfy the guest’s needs.
• Be completely familiar with all hotel information necessary to actively promote room sales, including current rate structures and sales strategies; current special rates and restrictions; types and locations of rooms/suites available, and services, costs, hours and location of all hotel facilities and outlets.
