Job summary

BlueGrace Logistics LLC is seeking a Government Services Billing Coordinator to manage the full billing lifecycle for government accounts. Qualifications

• Experience in logistics billing or related financial coordination.
• Familiarity with freight billing processes including invoice generation, payment application, and carrier payable reconciliation.
• Experience with TMS platforms, customer billing portals, or ERP/accounting systems.
• High attention to detail and accuracy; billing errors on government accounts carry contractual and reputational consequences.
• Strong organizational skills with the ability to manage a high volume of billing transactions, open items, and documentation requests.

Responsibilities

• Generate, review, and submit accurate invoices to government services customers per contract terms and billing schedules.
• Apply incoming payments to open invoices and reconcile accounts.
• Identify, research, and resolve invoice discrepancies, short payments, and unapplied cash.
• Coordinate with operations and carriers to obtain missing documentation (PODs, BOLs, delivery receipts).
• Close out shipments in the TMS after delivery and documentation receipt.
• Identify, validate, and bill applicable accessorial charges (detention, layover, fuel adjustments, liftgate).
• Coordinate carrier payables with Accounts Payable and resolve disputes.
• Review freight rates in the TMS and customer portals to correct rate errors prior to invoicing.
