Job summary

Active Security designs, develops, implements, and sustains advanced C5ISR and security solutions for government and commercial clients. The Accounting Specialist – Accounts Receivable owns the billing-to-cash cycle for assigned projects and customer accounts, issuing invoices, applying cash receipts, maintaining A/R aging, and leading collection follow-up to keep cash flow on target.

Qualifications

• Education: high school diploma or equivalent; associate degree preferred; proficiency with Microsoft Office and accounting/ERP software.
• Experience: 3–5 years in accounting, 2+ years AR, billing or collections; government contract billing a strong plus.
• Technical: strong order-to-cash knowledge, AR reconciliation, and ability to read contracts/POs for billing terms.
• Communication: professional with customers on collections and disputes.

• Availability: standard business hours with flexibility for deadlines and audits.

Responsibilities

• Prepare, review, and issue customer invoices from PROCAS and ConnectWise, including milestone, progress, time-and-materials, and recurring billing.
• Collaborate with Program Managers to confirm billing schedules, percent complete, and billable time/materials before invoicing.
• Submit government invoices through portals (WAWF/PIEE) and commercial portals as required.
• Apply customer payments and reconcile deposits to bank activity.
• Maintain A/R aging and run regular aging reviews with finance lead and project teams.
• Lead collection activities: reminders, statements, past-due follow-up, escalation of at-risk accounts.
• Research and resolve billing disputes, short-pays, credits, and unapplied cash.
• Set up new customers/contracts in systems with billing contacts, terms, tax status, and PO/contract values.
• Track POs and contract funding vs. billings; flag if funding or period is running low.
• Reconcile A/R subledger to GL and support close, audits, and cash forecasting.
• Prepare A/R reports for leadership including aging, DSO, and unbilled revenue.
• Provide backup for A/P, expense reporting, and credit card reconciliation.
• Data entry and quality control for billing and customer records.
