Job summary

Robb Report is seeking a Guest Services Manager for a short-term assignment to support outreach and communication to targeted high-net-worth clients, ensuring their attendance at international luxury curated events.

You will manage admin for global live media events, maintain invitee databases, and execute personalized outreach while coordinating payments, travel, and travel-related documentation as needed.

Qualifications

• Significant administrative experience.
• Experience in the luxury marketplace or with UHNW individuals.
• Understanding of the yachting industry.
• Positive self-starter and team player with a can-do, solution-oriented attitude.

Responsibilities

• General administrative duties for global live media events.
• Maintain database of invite list, event attendees, log all member data, and notes.
• Track attendee outreach efforts and follow up communication schedules.
• Execute personalized guest outreach surrounding specific event invitations.
• Manage all record‑keeping and communications with clients.
• Coordinate distribution of all digital and print invitations, announcements, itineraries, scheduling, etc.
• Collect event payments from guests, coordinate travel logistics, record all payments and distribute receipts.
• Track RSVPs and update internal team on booking pace through weekly reporting.
• Gather, prepare, and distribute biographical information for internal distribution prior to events.
• Fulfill individual special requests, answer program questions, generate FAQs, gather international travel needs (e‑Visa, passport, international driver’s license).
• Gather traveler information for various trips, convey event details and schedules, record signed waivers.
• Work with General Counsel to update and distribute waiver and release forms for events.
• Research prospective guests/attendees across multiple channels.
• Support events on an as‑needed basis (pre‑event planning phase and onsite support).
