Job summary

Rail Modal Group in New York seeks a Supply Chain Coordinator who acts as a Documentation Specialist to ensure every shipment follows the process from booking through final paperwork. You will be the primary liaison between customers and steamship lines, coordinating with Logistics and Operations to move cargo efficiently.

The role requires meticulous attention to detail, strong communication, and the ability to manage multiple priorities in a fast-paced environment.

Qualifications

• Minimum of 1 year of relevant experience in the transportation industry.
• Experience with document processing or logistics software.
• Strong technical and computer skills.

Responsibilities

• Booking Management: Receive, review, and process customer export booking requests; validate rates, service contracts, and trade lane eligibility; secure vessel space and enter bookings into internal systems; send confirmations, revisions, and updates to customers.
• Shipment Coordination and Monitoring: Track bookings and shipments in transit; alert customers to schedule changes, cutoffs, and delays; resolve booking conflicts and capacity constraints; coordinate with logistics, rail, and ground teams to meet cutoffs and minimize detention and demurrage.
• Export Documentation and Compliance: Review and validate shipping instructions for compliance; maintain export documentation, certifications, and shipment records; submit AES filings; file and maintain rates and tariffs with FMC.
• Bill of Lading Management: Review draft bills of lading for accuracy; process amendments; arrange cargo release and courier delivery of original documents; manage inventory and control of serialized B/L forms.
• Contracts, Billing, and Customer Support: Interpret carrier contracts and tariffs; audit, approve, and dispute carrier freight invoices; onboard new customers; implement customer-specific procedures; perform other duties and special projects.
