UES is seeking a Geotechnical Administrative Assistant in Dallas, TX to support the Geotechnical department, engineers, and field teams. You will organize project documents, assist with reports, and help keep schedules and records up to date.

Qualifications

  • Must have a high school diploma or equivalent; an associate’s degree or coursework preferred.
  • 0-2 years of administrative or office support experience; internship or volunteer work a plus.
  • Strong organizational, time-management, and problem-solving skills; attention to detail.

Responsibilities

  • Provide day-to-day admin support to the Geotechnical department and field staff.
  • Prepare, format, and proofread geotechnical reports and client deliverables.
  • Maintain accurate project files and electronic filing systems.
  • Support project setup, data entry, and tracking of documents/spreadsheets.
  • Coordinate schedules, meetings, appointments, and department activities.
  • Prepare meeting agendas, take notes/minutes, and assist with follow-ups.
  • Handle incoming/outgoing correspondence between teams, clients, and vendors.
  • Assist engineers and project managers with admin tasks on active projects.
  • Maintain department supplies and equipment records.
  • Greet visitors, answer phones, and provide general office support.
  • Support special projects, team initiatives, and other department needs.
  • Maintain high accuracy and multi-project prioritization; adapt to overtime if needed.

Education

High school diploma or equivalent
Associate’s degree or coursework preferred
