Position Overview

We are looking for a Geotechnical Administrative Assistant to join our growing team in Dallas, Texas. This role plays an important part in supporting the day-to-day operations of our Geotechnical department, helping keep projects, documentation, and team activities organized and moving forward.

The Geotechnical Administrative Assistant will provide administrative and project support to department leadership, engineers, project managers, and field teams. Responsibilities may include preparing and organizing project documents and reports, coordinating schedules, maintaining project files and records, assisting with correspondence and data entry, and supporting other administrative needs across the department.

Responsibilities
  • Provide day-to-day administrative and project support to the Geotechnical department, including department leadership, engineers, project managers, and field staff.
  • Assist with the preparation, formatting, proofreading, and organization of geotechnical reports, proposals, project documents, and other client deliverables.
  • Maintain accurate project files, records, documentation, and electronic filing systems to ensure information is organized and easily accessible.
  • Support project setup and coordination, including data entry, updating project information, tracking documentation, and maintaining spreadsheets and databases.
  • Coordinate schedules, meetings, appointments, and other department activities as needed.
  • Prepare meeting agendas and materials, take notes or minutes, and assist with follow-up items.
  • Handle incoming and outgoing correspondence and assist with communications between project teams, clients, vendors, and other internal departments.
  • Assist engineers and project managers with administrative tasks related to active projects, including document tracking, report preparation, and project closeout activities.
  • Help maintain department supplies, equipment records, and other operational needs.
  • Greet visitors, answer and direct phone calls, and provide general office support as needed.
  • Provide administrative support for special projects, team initiatives, and other department needs as assigned.
  • Maintain a high level of accuracy, organization, and attention to detail while managing multiple projects and priorities.
  • Maintain flexibility for occasional overtime, business events, or time-sensitive project and administrative needs.
Qualifications
  • High school diploma or equivalent required, Associate’s degree or additional relevant coursework preferred.
  • 0-2 years of administrative or office support experience (internship or volunteer experience a plus).
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools.
  • Strong organizational, time management, and problem-solving skills.
  • Strong attention to detail and ability to handle confidential information with discretion.
  • Effective verbal and written communication skills to interact with team members and stakeholders.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to adapt to a changing work environment and foster and maintain good relationships at all levels.
Travel Requirements
  • This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
  • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
  • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
  • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
