Full Charge Bookkeeper/Executive Support
We are seeking a dynamic, highly organized Full Charge Bookkeeper / Executive Support to join our small, dedicated team, full-time and on-site. This role is vital for executive office operations, smooth administrative workflow and accurate bookkeeping.
Job Summary
Full charge Bookkeeper/Executive Support is responsible for managing all accounting activities within a business, including accounts payable and receivable, general ledger, payroll, and financial reporting, as well as executive support as a management team member. The individual ensures accurate financial records, provides necessary documentation to outside accountants, supervises other accounting staff, and manages or assists general and executive office tasks, processes, procedures and workflow.
Key Responsibilities
- Manage accounts payable and receivable
- Manage vendor and customer relationships, records and contracts
- Oversee bank and credit card accounts & reconciliations
- Maintain an accurate general ledger
- Perform management team tasks, duties, calendar communications and meetings
- Periodic tasks, renewals and assessments
- Execute and manage monthly, quarterly and annual accounting period closes
- Maintain, reconcile and record all general ledger line items and prepare internal financial statements and schedules
- Assist with budgeting and forecasting
- Generate and verify necessary documents for outside accounting firm
- Prepare business tax forms such as state sales tax as well as regulatory filings such as OSHA 300, Form 1099 and 1096
- Oversee payroll processes, payroll tax filings and internal procedures to ensure compliance with accounting standards and internal policies
- Manage employee commissions, qualified expense reimbursements, and outstanding company property logs
- Assist with employee benefits and ensure timely execution
- Perform general ledger account reconciliation of employee-related liability, asset and expense accounts
- Supervise staff and ensure smooth operations
- Support and back up accounting and administrative personnel
- Contribute to management team as member and department team leader
- Collaborate with CPAs and other financial professionals
Required Skills
- Proficiency in accounting software, Microsoft Office, expertise in Excel
- High degree of professionalism to maintain confidentiality, discretion, honesty, integrity, compassion and responsibility
- High degree of knowledge of accounting principles and procedures
- Strong, amicable, verbal and written communication skills
- Detail-oriented, committed to accurate record keeping
- Excellent problem-solving skills
- Experience and ability to complete all steps in full-cycle accounting
- Strong ability to carry out assigned projects to completion
- Excellent administrative and organizational skills
Required Qualifications
- Bachelor’s degree in accounting or business administration, full-charge bookkeeper certification or equivalent work experience in bookkeeping, financial processes oversight and accounting, office or team management
- Experience in manufacturing accounting preferred
- Experience in processes, procedures, workflow a plus
