Responsibilities

  • Maintain accurate, up-to-date books across all entities.
  • Record and categorize transactions in QuickBooks.
  • Reconcile all bank and credit card accounts monthly.
  • Maintain a clean chart of accounts and supporting documentation.
  • Process vendor bills and ensure timely payments.
  • Monitor receivables and flag overdue balances.
  • Maintain clear audit trails for all transactions.
  • Complete monthly close by the 10th and prepare P&L and Balance Sheet reports.

The full-charge bookkeeper owns the end-to-end financial operations of the business. This role combines daily bookkeeping with monthly close, reporting, and financial oversight. You will be the person leadership relies on to know where the money is, what’s overdue, what doesn’t look right, and what needs attention before it becomes a problem.

Schedule / Expected Work Hours:

Full-time, Monday to Friday, 9:00 AM – 5:00 PM. Some flexibility available for the right candidate.

Key Responsibilities
Accounting & Bookkeeping
  • Maintain accurate, up-to-date books across all entities
  • Record and categorize transactions in QuickBooks
  • Reconcile all bank and credit card accounts monthly
  • Maintain a clean chart of accounts and supporting documentation
Accounts Payable & Receivable
  • Process vendor bills and ensure timely payments
  • Monitor receivables and flag overdue balances
  • Maintain clear audit trails for all transactions
Payroll & Compliance
  • Process or oversee payroll accurately
  • Ensure payroll taxes and filings are completed
  • Support workers’ comp audits and compliance reporting
Monthly Close & Reporting
  • Complete monthly close by the 10th
  • Prepare Profit & Loss and Balance Sheet reportsExplain variances and identify discrepancies proactively
Financial Oversight
  • Maintain documentation for lenders, CPAs, and leadership
  • Support budgeting and forecasting
  • Answer financial questions clearly and confidently
  • Flag risks, inefficiencies, or missing information
What Success Looks Like
  • Books are clean, current, and reconciled
  • Leadership trusts the numbers without double-checking
  • Reports are delivered on time, every month
  • Issues are identified early, not during audits or tax season
