Job summary

Mikron Corporation Denver is seeking a Front Office Coordinator to greet customers, manage office operations, and support HR and facilities tasks in our Denver, CO office. This role handles travel requests, vendor coordination, and event planning while ensuring confidentiality and professional interactions with staff and guests.

Responsibilities include calendar management, ordering lunches, maintaining conference room schedules, and supporting onboarding with Finance, HR, IT.

Responsibilities

  • Support Mikron Denver office operations including mail, shipping, inventory, text system, key cards and name tags, office supplies, vendor deliveries, front desk phone calls and voicemail.
  • Assist with event planning for All Hands meetings, off-site events, team-building activities, etc.
  • Manage birthday and anniversary cards.
  • Coordinate high-volume scheduling for catered events and team lunches across multiple schedules.
  • Learn and work with systems (Concur, Envoy, Paylocity, Microsoft Office).
  • Partner with Finance, HR, IT on onboarding.
  • Assist HR administrative items as needed.
  • Coordinate international and domestic travel arrangements, and on-site vehicle for visitors.

Description

POSITION OBJECTIVE:

The Front Office Coordinator assists with greeting and receiving all customers, guests, and employees to the Mikron office. This position assists with purchasing of office supplies, management of the company emergency text list, company vehicle schedule, and travel related requests as needed. This role supports the HR team through the management of the Mikron Minute, birthday cards, event planning support, and other projects as assigned. This role also manages conference room schedules, upkeep, and ordering of lunches or catered events as necessary.

DUTIES AND RESPONSIBILITIES:
  • Full support of Mikron Denver, Colorado office including but not limited to mail, shipping items, management of inventory and items stored on premises, management of text-em-all system, key cards and name tags, office supplies, vendor deliveries, front office expense report, and front desk phone calls and voicemail
  • Assist with event planning for All Hands Employee meetings, off-site events, team building activities, etc.
  • Handle birthday, anniversary cards
  • Manage a high volume of scheduling transactions including catered events, customer and team lunches, managing multiple schedules without losing track of accuracy/effectiveness of communications
  • Ability to learn and work effectively within various business systems (Concur, Envoy, Paylocity, Microsoft Office Suite, etc.)
  • Partner with Finance, Human Resources, IT and related teams on new hire onboarding
  • HR administrative items as needed
  • May be asked to support coordination of International and Domestic travel arrangements, as well as company on site vehicle for incoming visitors.
  • Apply judgment with full understanding of urgency and priorities of the business, routinely need to multi-task with sometimes little direction
  • Full comfort and inclination to ask for help when needed
  • High level of customer service with a strong ability to work in a positive manner with a multitude of personalities and varying expectations.

Requirements

QUALIFICATIONS, EDUCATION, AND EXPERIENCE REQUIREMENTS:

Employment Qualifications:

  • Must be eligible to work in the United States
  • Must have a valid state Driver license

Professional & Technical Education:

  • 2+ years previous office support experience and/or Administrative Assistant experience
  • Excellent written and verbal communication skills; ability to understand and judge the right communication style for the audience
  • Highly refined organizational skills, specifically related to time management and scheduling
  • Demonstrated ability to be proactive, take initiative, exercise good judgment, maintain discretion and confidentiality in all tasks; resourcefulness is key
  • Ability to understand and meet deadlines and time sensitive issues in a fast-paced environment
  • Incredible attention to detail and accuracy
  • Ability to create and/or modify processes and scale best practices around scheduling and other tasks associated with this role

Other Job-Related Experience or Requirements:

  • Must be able to consistently work Monday through Friday, 7 am to 12:30 pm, with occasional extra hours if needed. This position will not work more than 29.5 hours within a week.
