Position Summary

We are looking for a reliable, organized Office Coordinator who is early in their career and excited to grow with us. This is a junior support role focused on consistent execution of established processes, professional customer service, accurate administrative work, and ownership of key recurring responsibilities such as uniform management.

You will work closely with leadership and external partners (including our bookkeeping team). Higher-level accounting, payroll processing, and specialized operational functions are handled by third-party providers and other internal team members.

Essential Responsibilities
Front Office & Administrative Support
  • Greet visitors and answer/direct phone calls and emails in a professional, timely, and friendly manner.
  • Process incoming and outgoing mail, packages, and deliveries.
  • Maintain basic office supply inventory and place routine orders under established guidelines.
  • Schedule meetings, prepare simple documents, and assist with internal meeting or event logistics.
  • Keep storage and common areas organized and accessible.
HR & Documentation Support
  • Assist with new-hire paperwork collection, scanning, organization, and filing (physical and electronic).
  • Maintain accurate and confidential employee and company records as directed.
Accounting & Bookkeeping Support
  • Perform accurate data entry and document preparation in support of accounting, timekeeping, and other systems under direction.
  • Support accounts payable and receivable processes by gathering receipts, organizing invoices, and preparing documentation for the third-party bookkeeper and leadership.
  • Full bookkeeping, payroll processing, tax filings, and account reconciliations remain with our external bookkeeping partner.
Uniform Management
  • Own uniform inventory management: maintain appropriate stock levels, issue uniforms to staff, and track returns.
  • Ensure clean uniforms are consistently available without requiring repeated reminders or follow-up from leadership.
  • Proactively monitor needs and resolve issues so this function runs reliably as a standard part of the role.
  • Advise HR Manager or ownership when there is a need to order additional stock.
  • Coordinate with uniform vendors on approved purchase fulfillment.
General Support
  • Provide general administrative support and complete special projects as assigned.
  • Uphold confidentiality and professional standards with all internal and external contacts.
Qualifications
Required
  • High school diploma or GED required; some college coursework preferred but not required.
  • 0–2 years of administrative, customer service, retail, or similar experience preferred. We are more interested in your potential, reliability, and attitude than a long resume.
  • Comfortable with Microsoft Office (Word, Excel, Outlook) and willing to learn new systems (QuickBooks Online exposure is a plus but not required).
  • Strong attention to detail, organization, and follow-through.
  • Professional verbal and written communication skills.
  • Positive, coachable attitude and genuine interest in growing with a stable, locally owned company.
  • Ability to handle multiple routine tasks accurately and meet deadlines.

Physical and Work Requirements
  • Primarily office-based work requiring frequent use of a computer, telephone, and standard office equipment.

  • Occasional standing, walking, bending, reaching, and lifting or moving office supplies or materials up to 25 pounds, with reasonable accommodation as applicable.
