Job Summary

This role is responsible for coordination of patient flow within the office, greeting patients in a prompt and courteous manner, advocating for patients by facilitating communication and visits, coordinating patient schedules, and monitoring and facilitating patient financial transactions.

Duties And Responsibilities
  1. Provide excellent customer service when greeting and engaging patients and visitors.
  2. Manage data collection, including demographics, patient history, insurance, and financial information.
  3. Check patients in and out for appointments promptly.
  4. Manage patient financial transactions and payment arrangements.
  5. Verify insurance benefits and referral authorization requirements.
  6. Collect copays, coinsurance, and deductibles.
  7. Prepare daily reports.
  8. Coordinate with clinical team to promote patient engagement and retention.
  9. Answer and route incoming phone calls appropriately.
  10. Schedule and coordinate appointments for the multidisciplinary team.
  11. Distribute correspondence.
  12. Demonstrate knowledge of insurance coverage, benefits, and general physician office procedures.
  13. Proficiently use Practice Management System/EMR, Phone System, and Microsoft Word.
  14. Assist patients with coordination between internal departments and external agencies.
  15. Ensure patients are seen fairly, timely, and equitably based on established criteria.
  16. Schedule appointments considering patient preferences, office guidelines, provider requirements, diagnosis, and insurance coverage.
  17. Monitor waiting rooms for appropriate behavior, cleanliness, and order; assist with medical records and authorizations.
  18. Distribute incoming mail, faxes, and deliveries, including refrigerated and time-sensitive items.
  19. Ensure accuracy of patient insurance and demographic information in the system.
  20. Manage referrals and assist patients with related requirements.
  21. Accurately report and manage collected payments and encounter documentation.
  22. Manage office supply needs.
Minimum Qualifications
  1. High School diploma or equivalent.
  2. At least 2 years’ experience in a similar role.
  3. Experience in a Patient Centered Medical Home preferred.
  4. Experience with eCW preferred.
  5. Passion to improve healthcare delivery.
  6. Respect for and experience with culturally diverse communities.
  7. Ability to build and maintain relationships with diverse populations.
  8. Strong multi-tasking, organizational, and communication skills.
  9. Team and customer service orientation.
Working Conditions

This role operates in a professional office environment, routinely using general office equipment.

Physical Requirements
  1. Effective communication and accurate information exchange.
  2. Ability to remain stationary for long periods.
  3. Operate computer, keyboard, copy/fax machine, phone, and other equipment.
  4. Occasionally move objects up to 20 lbs.
