Job Summary
This role is responsible for coordinating patient flow within the office, greeting patients courteously, acting as a patient advocate by facilitating communication and visits, managing patient schedules, and monitoring and facilitating patient financial transactions.
Duties and Responsibilities
- Provide excellent customer service when greeting and engaging patients and visitors.
- Collect and manage data such as demographics, patient history, insurance, and financial information.
- Check patients in and out for appointments promptly.
- Manage patient financial transactions and payment arrangements.
- Verify insurance benefits and referral requirements.
- Collect copays, coinsurance, and deductibles.
- Prepare daily reports.
- Coordinate with clinical teams to promote patient engagement and retention.
- Answer and route incoming phone calls appropriately.
- Schedule and coordinate appointments for the multidisciplinary team.
- Distribute correspondence.
- Maintain knowledge of insurance coverage, benefits, and office procedures.
- Proficiently use Practice Management System/EMR, phone systems, and Microsoft Word.
- Assist patients with coordination between internal departments and external agencies.
- Ensure patients are seen fairly, timely, and equitably according to established criteria.
- Schedule appointments based on patient preferences, office guidelines, provider requirements, diagnosis, and insurance coverage.
- Monitor waiting rooms to ensure appropriate behavior, cleanliness, and order; assist with medical records and authorizations.
- Distribute incoming mail, faxes, and deliveries, including refrigerated and time-sensitive items.
- Ensure the accuracy of patient information in the management system.
- Manage referrals and assist patients with related requirements.
- Accurately report and manage collected payments and encounter documentation.
- Manage office supplies.
Minimum Qualifications
- High School diploma or equivalent.
- At least 2 years of experience in a similar role.
- Experience in a Patient-Centered Medical Home preferred.
- Experience with eCW preferred.
- Passion to improve healthcare delivery.
- Respect for and experience with culturally diverse communities.
- Ability to build and maintain relationships with diverse populations.
- Strong multi-tasking, organizational, and communication skills.
- Team and customer service orientation.
- Active CPR certification.
Working Conditions
