Job Summary

This role is responsible for coordinating patient flow within the office, greeting patients courteously, acting as a patient advocate by facilitating communication and visits, managing patient schedules, and monitoring and facilitating patient financial transactions.

Duties and Responsibilities

  1. Provide excellent customer service when greeting and engaging patients and visitors.
  2. Collect and manage data such as demographics, patient history, insurance, and financial information.
  3. Check patients in and out for appointments promptly.
  4. Manage patient financial transactions and payment arrangements.
  5. Verify insurance benefits and referral requirements.
  6. Collect copays, coinsurance, and deductibles.
  7. Prepare daily reports.
  8. Coordinate with clinical teams to promote patient engagement and retention.
  9. Answer and route incoming phone calls appropriately.
  10. Schedule and coordinate appointments for the multidisciplinary team.
  11. Distribute correspondence.
  12. Maintain knowledge of insurance coverage, benefits, and office procedures.
  13. Proficiently use Practice Management System/EMR, phone systems, and Microsoft Word.
  14. Assist patients with coordination between internal departments and external agencies.
  15. Ensure patients are seen fairly, timely, and equitably according to established criteria.
  16. Schedule appointments based on patient preferences, office guidelines, provider requirements, diagnosis, and insurance coverage.
  17. Monitor waiting rooms to ensure appropriate behavior, cleanliness, and order; assist with medical records and authorizations.
  18. Distribute incoming mail, faxes, and deliveries, including refrigerated and time-sensitive items.
  19. Ensure the accuracy of patient information in the management system.
  20. Manage referrals and assist patients with related requirements.
  21. Accurately report and manage collected payments and encounter documentation.
  22. Manage office supplies.

Minimum Qualifications

  • High School diploma or equivalent.
  • At least 2 years of experience in a similar role.
  • Experience in a Patient-Centered Medical Home preferred.
  • Experience with eCW preferred.
  • Passion to improve healthcare delivery.
  • Respect for and experience with culturally diverse communities.
  • Ability to build and maintain relationships with diverse populations.
  • Strong multi-tasking, organizational, and communication skills.
  • Team and customer service orientation.
  • Active CPR certification.

Working Conditions

Professional office environment; routine use of office equipment.

Physical Requirements

  • Clear communication and accurate information exchange.
  • Ability to remain stationary for long periods.
  • Operate computers, phones, and office equipment.
  • Occasionally move objects up to 20 lbs.
