About The Role

Stouffer Legal is seeking a warm, organized, and detail-oriented Front Office Coordinator to be the welcoming face of our Annapolis office. As the first point of contact for our clients, you’ll play a critical role in shaping their experience—whether it’s greeting them in person, answering their calls, or ensuring our attorneys have everything prepared for meetings.

Key Responsibilities & Procedures

Office Management

  • Open and close the office each day following established procedures
  • Turn lights on/off
  • Restock candy and supplies
  • Ensure restrooms are clean
  • Wash dishes and take out trash
  • Adjust air temperature in each room
  • Send daily KPI updates
  • Order and manage office supplies

Client Interaction & Support

  • Greet and seat clients professionally; offer coffee, tea, or water
  • Notify attorneys of client arrivals
  • Scheduling next appointments
  • Taking payments
  • Cleaning and resetting conference rooms

Attorney Meeting Preparation

  • Prepare materials for attorney meetings
  • Printing packets
  • Assembling folders and binders
  • Handling bulk printing tasks

Phone Management & Scheduling

  • Handle inbound and outbound calls
  • Answering and transferring calls professionally
  • Creating and managing follow-up tickets
  • Scheduling meetings
  • Confirming meetings the week prior
  • Escalating client issues to the Team Lead as needed

Tools & Systems You'll Use

Outlook, Microsoft Teams, Acuity, Legal System, Freshdesk, Stax, RingCentral, Excel
