Job Description: Information Desk and School Office Manager

Start Date: July 1, 2025

Reports to: Chief Financial Officer

Brief Description

The Front Desk Receptionist reports to the Chief Financial Officer and is responsible for the primary reception coverage at Brooklyn Heights Montessori School. This role involves managing the school's front reception desk, answering multi-line phones, and greeting families and visitors with a positive attitude. It is a 12-month (in-person) position, working hours from 7:45 am to 4:00 pm, with a one-hour lunch break.

Responsibilities Include But Are Not Limited To:
  1. Greet students, families, and visitors warmly and professionally.
  2. Manage visitor check-in and issue visitor badges.
  3. Maintain security by monitoring front desk activities during entrance and dismissal times.
  4. Operate and train others on the multi-line phone system; coordinate with the Technology Manager on system issues.
  5. Record daily attendance in the Veracross database, handle parental notices, and communicate attendance reports.
  6. Manage fire drill attendance logs.
  7. Handle all incoming and outgoing mail and maintain the postage meter.
  8. Coordinate Metro-card distribution with the Department of Education.
  9. Manage supply orders and maintain inventory.
  10. Provide clerical support to the Business Office and CFO as needed.
  11. Support summer camp office operations during June, July, and August.
  12. Attend all scheduled staff meetings and manage front desk during school events.
  13. Participate in occasional evening and weekend school events.
  14. Perform other duties as assigned, adhering to school policies and procedures.
Skills and Requirements
  1. Excellent customer service and interpersonal skills.
  2. Ability to work efficiently in a fast-paced environment.
  3. Effective communication skills with students of all ages.
  4. Strong work ethic, sense of humor, and collaborative spirit.
  5. Proficiency with G Suite and intermediate/high skills in Microsoft Office.
  6. Research skills and internet proficiency.
  7. Ability to follow written and oral instructions accurately.
  8. Strong organizational skills and attention to detail.
  9. Physical ability to sit or stand for long periods and lift boxes occasionally.
  10. Fluency in English; second language a plus.
  11. Ability to work independently with limited supervision.
