Job Summary
We are looking for a friendly and professional Receptionist to manage our front desk and perform various administrative tasks. The ideal candidate will be the first point of contact for visitors, clients, and staff. They will also be responsible for handling phone calls, scheduling appointments, and providing general office support to ensure smooth and efficient operations.
Main Responsibilities
- Greeting Visitors and Guests: Warmly greet all visitors, clients, and staff upon arrival. Ensure they are properly checked in, provide necessary information, and direct them to the appropriate person or department.
- Handling Incoming Calls: Answer, screen, and direct phone calls professionally and promptly. Take accurate messages and ensure they are delivered to the correct person in a timely manner.
- Appointment Scheduling: Manage calendars and schedule meetings, appointments, and conference rooms for staff and executives. Ensure no scheduling conflicts occur and communicate changes or cancellations efficiently.
- Managing the Reception Area: Maintain a neat, clean, and welcoming front desk and reception area at all times. Ensure that the waiting area is comfortable for guests, with magazines, refreshments, or other amenities as needed.
- Mail and Package Handling: Receive, sort, and distribute incoming mail and packages. Ensure outgoing mail and courier shipments are properly labeled, stamped, and sent out on time.
- Visitor and Security Management: Manage visitor logs, issue visitor badges, and ensure guests follow building security procedures. Keep track of visitors in accordance with company policies.
- Clerical and Administrative Support: Provide general office support by performing filing, scanning, photocopying, and faxing tasks. Assist with the preparation and organization of documents, reports, and presentations.
- Supply Management: Monitor office supplies (stationery, printer paper, etc.) and ensure that stocks are replenished in a timely manner. Manage the inventory, place orders with vendors, and maintain a cost-effective budget for office supplies.
- Coordination and Communication: Serve as a liaison between departments, ensuring effective communication across teams. Assist in organizing and coordinating internal events, meetings, and team functions.
- Customer Service Support: Assist clients with inquiries, requests, and minor issues in a professional and courteous manner. Troubleshoot minor problems and elevate more complex issues to the appropriate team members or departments.
- Assist with Office Projects: Provide administrative assistance to various departments or staff on ad-hoc projects as needed. This may include event coordination, filing, or document preparation.
- Provide General Support for the Team: Help staff members with day-to-day tasks such as booking travel arrangements, coordinating lunch meetings, or providing general office assistance.
Abilities Required
- High school diploma or equivalent (additional education or certifications a plus).
- Proven experience as a receptionist or in a similar role is a plus.
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Proficient in Microsoft Office Suite and general office equipment.
