We're looking for a friendly, polished, and highly organized Front Desk Receptionist to be the first point of contact for employees, guests, candidates, vendors, investors, and partners visiting our office.
This is a full-time, fully in-office position, five days per week (Monday - Friday), with regular working hours of 9:00 AM-6:00 PM. Because this role is responsible for front desk coverage and supporting the day-to-day office experience, consistent and reliable in-person attendance during these hours is an essential part of the position.
You'll report directly to the Office Manager and work closely with them to support daily workplace operations and create a seamless, welcoming office experience.
This is also a high-touch role with frequent interaction with our CEO and C-suite executives, as well as their guests, investors, and other important visitors. We're looking for someone who is comfortable operating in an executive-facing environment and consistently demonstrates professionalism, discretion, sound judgment, and attention to detail.
The ideal candidate is personable, proactive, highly organized, and comfortable working in the fast-paced, ever-changing environment of a growing tech startup.
What You'll Do
- Welcome employees, guests, candidates, vendors, investors, and other visitors and provide a warm, professional first impression.
- Manage the front desk and reception area, ensuring it remains organized, polished, and welcoming throughout the day.
- Provide high-touch support to the CEO and C-suite executives, helping ensure their guests, meetings, and day-to-day office needs are handled thoughtfully and professionally.
- Coordinate visitor check-in, guest badges, building access, and arrival notifications.
- Accept incoming deliveries and coordinate with delivery personnel, vendors, and couriers.
- Help maintain conference rooms and shared spaces, ensuring they are clean, organized, stocked, and ready for use.
- Assist with meeting preparation, including room setup, refreshments, catering, and guest coordination when needed.
- Monitor office and kitchen supplies and help restock or place orders as needed.
- Serve as a point of contact with building and property management for day-to-day office and facilities needs.
- Submit building maintenance and service requests as needed and follow up with property management or maintenance teams to ensure issues are addressed in a timely manner.
- Coordinate with vendors, contractors, maintenance teams, and other service providers as needed.
- Occasionally run local errands for office supplies, meeting needs, events, or other workplace-related requests; assist with coordinating, receiving, setting up, and cleaning up catered lunches for guests and investors; and receive and distribute employee lunches delivered through the company's courier service.
- Help identify and resolve everyday office and facilities issues quickly and professionally.
- Support employee events, team gatherings, and other office initiatives.
- Provide general administrative and workplace support to the team as needed.
- Partner closely with the Office Manager to help create an exceptional in-office experience.
What We're Looking For
- Previous experience in reception, hospitality, office administration, workplace operations, customer service, or a similar people-facing role.
- Warm, polished, professional, and confident communication skills.
- Comfort working closely with senior executives and providing a consistently high level of service to executive guests, investors, and other VIP visitors.
- Strong organizational skills and excellent attention to detail.
- A hospitality mindset and genuine interest in helping others.
- Ability to anticipate needs, take initiative, and recognize what needs attention without always needing to be asked.
- Ability to manage multiple priorities and handle unexpected requests with professionalism and composure..
- Availability to work in the office five days per week, Monday through Friday, from 9:00 AM-6:00 PM.
- Ability to exercise excellent judgment and discretion when handling visitors, executive matters, workplace issues, and confidential information.
- Comfortable using common workplace technology and learning new systems quickly.
- Willing and able to occasionally run local errands as part of the role.
- Ability to lift and carry items weighing up to 25 lbs, including packages, office supplies, catering, and deliveries.
