Job summary

Sanctuary is seeking a full-time MedSpa Coordinator for the front desk in Boca Raton, FL. The role serves as a brand ambassador, overseeing daily operations to ensure a seamless client experience from arrival to departure and educating clients on Sanctuary’s treatment options and products.

The ideal candidate has 2+ years of high-end customer service and 1 year of medical aesthetics experience, with an impeccable appearance and the ability to stay calm in a fast-paced med spa environment.

Qualifications

• 2 years high end customer service experience.
• 1 year medical aesthetics experience.
• Must have positive attitude.
• Team player with strong work ethic.
• Impeccable personal appearance.
• Physical mobility to bend, lift, and stand for prolonged periods.
• Ability to work overtime, weekends, days, evenings and/or holidays.
• Ability to meet US employment and eligibility requirements.

Responsibilities

• Provides excellent customer service to all clients in-person, over the phone and via text/email inquiries.
• Educates clients on Sanctuary's services, products and treatment options.
• Maintains a positive attitude in a fast-paced med spa environment.
• Oversees daily schedule to ensure a seamless client experience.
• Answers and screens phone calls, schedules appointments, and relays messages to staff.
• Monitors voicemail, email inquiries and text messages; responds promptly.
• Checks clients in/out and schedules follow-up visits.
• Performs intelligent booking using Millennium software.
• Prepares proper medical documents for patients via EMR.
• Stays calm under pressure and resolves potential issues quickly.
• Ensures cleanliness and appearance of spa areas, lobby, front desk and back of house.

Responsibilities

• Consistently provides excellent customer service to all clients in-person, over the phone and through text/email inquiries
• Educates clients on Sanctuary's services, products and treatment options
• Exudes positive attitude while working in a fast-paced med spa
• Oversees daily schedule to ensure seamless client experience
• Answering and screening phone calls, scheduling appointments, taking messages and ensuring prompt delivery to proper staff member
• Monitor and respond to office voicemail, email inquiries and text messages throughout the day
• Accurately checking clients in/out and scheduling all follow up visits
• Intelligent booking using Millennium software
• Preparing proper medical documents for patients through EMR
• Ability to stay calm under pressure and quickly find solutions to potential issues
