Job summary

Urology Centers of Alabama is seeking a Medical Front Desk Clerk at our Homewood/Main Campus in Birmingham, AL. You will welcome patients, assist with check-in at kiosks, collect documents, input information into the EMR, and prepare files for visits.

After appointments, you will schedule follow-ups, provide service instructions, and coordinate with physicians and nurses to ensure smooth patient flow in a busy clinic environment.

Qualifications

Responsibilities

  • Greet patients and assist with check-in at kiosks; answer questions about the check-in process.
  • Help with check-in tasks: collect documents, insurance info, copays, and dedu cts.
  • Escort patients to exam rooms when needed. Prepare patient files for visits.
  • Notify physicians/nurses when patient is ready for services.
  • Schedule follow-up appointments and provide imaging or service instructions.
  • Handle checkout functions through the EMR system and maintain confidentiality.

General Summary

As the first point of contact for patients arriving at UCA’s clinics, the Medical Front Desk Clerk will greet and assist patients with check‑in at kiosks, collect necessary documents, input information into the EMR system, prepare files for office visits, and notify physicians or nurses that a patient is ready to be taken to the exam room. After the appointment, the clerk schedules follow‑up appointments and communicates instructions for additional services.

Essential Functions
  • Greet patients, family members, or caregivers at check‑in and answer questions about the UCA check‑in process.
  • Provide support to complete the check‑in process, including assisting patients with kiosks, collecting documents relevant to the visit, insurance cards, co‑pay or deductible information.
  • Act as a patient escort when needed, assisting the patient to enter or exit the facility or to the UCA exam room.
  • Prepare patient files for visits, ensuring confidentiality is maintained.
  • Maintain contact with the secretary, nurse, and/or physician to confirm that the patient has arrived and is ready for services.
  • Perform checkout functions through the EMR system.
  • Schedule patient follow‑up appointments according to physician schedules.
  • Provide patients with instructions for imaging and/or other services and appointments.
  • Collect, organize, and disburse superbills.
  • Attend organization or departmental meetings as required.
  • Perform other duties as assigned.
Minimum Qualifications
  • Excellent interpersonal skills and communication ability to interact with people from all walks of life and cultural backgrounds.
  • Ability to work independently or within a team in a fast‑paced environment.
  • Proficiency using a variety of office equipment, including a PC, Windows, MS Office, EMR system, multi‑line telephone, copier, and facsimile machine.
  • Commitment to maintaining confidentiality, including strict adherence to HIPAA and UCA guidelines.
  • High school diploma or GED equivalent.
Preferred Qualifications
  • Previous experience in healthcare or a physician clinic setting.
  • Good working knowledge of medical terminology.

Supervisory Requirements

This position does not supervise any other staff members.
