Job summary

The Ranch at Dove Tree in Lubbock, Texas seeks an Intake Coordinator to create a welcoming front desk environment, handle phone triage, pre-registration, and insurance verifications, and coordinate with referral sources to support admissions.

The role emphasizes interviewing clients and family, ensuring intake criteria are met, and maintaining accurate CRM documentation, with collaboration across departments to admit clients smoothly.

Qualifications

• High School Diploma or equivalent required; Bachelor’s degree in social work, psychology, counseling, or related field preferred.
• One or more years' experience in healthcare admissions preferred.
• Experience in client assessment, referral, treatment planning and communication with external review organizations or comparable entities.
• Outstanding interpersonal, interviewing, and assessment skills; strong telephone etiquette.

Responsibilities

• Conduct pre-admission assessments.
• Interview clients, family members and collateral sources to assure intake criteria are met.
• Review prospective admissions against approved admission criteria, policies and procedures.
• Generate, guide, and lead discussions with referral sources for client support, conflict resolution and business development.
• Respond to the needs of referred clients.
• Assess family needs for mediation and intervention and determine appropriate resources.
• Decide which Interventionist and facility to recommend and schedule dates/travel.
• Document all activities and admissions in the CRM; maintain admission documentation.
• Verify insurance eligibility and coordinate with insurers.
• Screen referrals and arrange transportation for admission.
• Maintain waiting list and stay in contact with potential candidates to facilitate admissions.
