Job summary

Richcroft, Inc. is seeking a Front Desk Administrative Assistant to be the face of the organization and support executive, HR, and training teams. The role involves managing front desk operations, communications, scheduling, data entry, and office upkeep.

Ideal candidates have 1–3 years of related experience, strong MS Office skills, and a commitment to confidentiality in a fast-paced environment. A high school diploma or GED is required.

Qualifications

  • Prior Front Desk Receptionist/Administrative Assistant experience a plus.

GENERAL DESCRIPTION OF POSITION:

Under the supervision of the Executive Assistant, the Front Desk Administrative Assistant is the face of Richcroft, and therefore, plays a crucial role in providing support and assistance to the organization. Primarily, the Executive, Human Resources, and Training departments. The responsibilities of the Front Desk Administrative Assistant include but is not limited to the following:

PRIMARY JOB FUNCTION(S):
  • Communication: Serving as a primary point of contact between executives, employees, vendors, and other stakeholders. Managing the front desk, including but not limited to, answering the doorbell, phone calls, and responding to emails and other forms of communication.
  • Scheduling and Coordinatio Assisting the Executive Assistant with coordinating meetings, and events. Schedule some appointments when needed.
  • Data Entry and Record Keeping: Maintaining and organizing databases, updating records, filing, running reports, and handling other administrative tasks related to data entry and management. Assisting HR and Training Departments with training schedule.
  • Office Management: Handling incoming and outgoing mail, and ensuring a the front desk is a well-organized, and efficient work environment.
  • Document Preparation: Preparing and editing documents, reports, and presentations. This may involve formatting, and proofreading.
  • Customer Service: Interact with visitors, customers, and other external parties, providing a positive and professional image for the organization.
  • Problem-Solving: Being resourceful and able to solve problems, address issues that arise and find efficient solutions.
  • Technology Proficiency: Familiarity with office software, email systems, and other relevant tools is essential. Including typing letters and memos, creating spreadsheets, and utilizing Richcroft specific systems and databases.
  • Confidentiality: Handling sensitive information, maintaining confidentiality and discretion.
  • Team Collaboration: Work closely with other members of the organization, providing support to various departments and teams, as needed.
Qualifications:
  • Previous 1-3 years’ experience as a Front Desk Receptionist, Administrative Assistant, or similar role, a plus.
  • In-depth working knowledge of MS Office Suite (e.g., Outlook, Excel, PowerPoint).
  • Familiarity using iCareManager (iCM), Ceridian Dayforce, Training & e-Tracking, a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication, customer service, and interpersonal skills.
  • Detail-oriented and strong confidentiality practices.
  • Ability to be flexible and adaptable in a fast-paced working environment.
  • High school diploma/ GED; additional qualifications in office administration, a plus.
