Job Title: Office Administrative Assistant
Employment Type: Full-Time
Schedule: Monday – Friday, 8:30 AM – 5:00 PM
Pay Rate: $18.00 – $22.00 per hour (commensurate with experience)
Position Overview
We are looking for an organized, proactive, and dependable Office Administrative Assistant to keep our daily operations running smoothly. You will serve as the first point of contact for visitors and callers, handle core administrative workflows, and provide critical operational support across teams.
Key Responsibilities
Front Desk & Communication
- Greet visitors, clients, and vendors warmly and direct them to the appropriate person or meeting room.
- Answer, screen, and route incoming phone calls while taking accurate messages.
- Monitor, organize, and respond to general company email inquiries and correspondence.
Daily Office Operations
- Sort, distribute, and prepare incoming and outgoing mail, packages, and courier deliveries.
- Maintain office inventory by tracking stock levels, anticipating needs, and placing orders for supplies, snacks, and equipment.
- Keep reception areas, conference rooms, supply closets, and break rooms clean, organized, and fully stocked.
- Coordinate with building management, cleaning crews, and repair technicians for facility maintenance.
Administrative & Team Support
- Schedule appointments, maintain shared team calendars, and coordinate conference room bookings.
- Assist in preparing documents, spreadsheets, meeting agendas, and presentations.
- Organize digital and physical filing systems to ensure records are secure, up to date, and easy to retrieve.
- Assist with basic data entry, invoice logging, and expense tracking.
- Help plan company events, team lunches, and staff meetings.
Qualifications
- High school diploma or GED required; associate degree or administrative certification is a plus.
- 1–3 years of prior experience in an office administration, receptionist, or clerical role.
- Proficiency with office software, including Microsoft Office 365 (Word, Excel, Outlook) and Google Workspace.
- Strong written and verbal communication skills with a professional demeanor.
- Excellent time management and organizational skills with an ability to multitask and prioritize effectively.
- Familiarity with standard office equipment (printers, scanners, multi-line phone systems).
