Job summary

Trivium is looking for an Executive Assistant / Life Manager in the Miami area to take over business admin and personal logistics for a fast-moving founder. You will design and run systems so the founder stops thinking about logistics.

The role requires proactive, discreet, and highly organized work with English fluency, in a hybrid/remote setup outside the USA. You will report to the founder and collaborate with a small team.

Qualifications

• 3+ years as executive/personal assistant or in a comparable service-driven role.
• US-based; Miami preferred; able to be on-site ~2 days/week.
• Deeply organised and detail-obsessed; you track everything.
• Resourceful; you figure out the how and act first; you don't need to be walked through every task.
• Proactive; you handle things before you're asked.
• Independent; autonomy and results matter more than hours.
• Discreet and trustworthy; access to personal and financial information.

Responsibilities

• Travel booking and full itineraries.
• Calendar management end-to-end; keep ahead of what's coming.
• Inbox triage and email surfacing priorities.
• Meeting prep: agendas, briefing notes, follow-ups.
• Project tracking: manage deadlines and follow-ups.
• Expenses and finance admin: expense reports and reimbursements.
• Personal and household coordination: appointments, scheduling, errands.
• Ad hoc support for a small team when reasonable.
