Job summary

Bethany Christian Services is hiring a Licensing & Intake Coordinator to support SFFC licensing and pre-licensing processes. You will manage intake, coordinate trainings, and ensure timely progress for families pursuing licensure, while maintaining meticulous records and compliance with DCS regulations.

The role requires strong communication, organizational skills, and confidentiality, with some evening/weekend availability for trainings or recruitment events.

Qualifications

• High school diploma or equivalent required.
• Postsecondary education in Social Work, Human Services, or related field preferred.
• Minimum of 2 years’ experience in child welfare, foster care, or related human services field.
• Experience in intake, training coordination, licensing support, and foster family engagement.
• Proven ability to manage family communication, documentation processes, and compliance tasks.
• Respect for diverse backgrounds and family systems.
• Ensure accuracy in documentation and compliance tracking.
• Strong ability to manage multiple cases, deadlines, and regulatory requirements.
• Familiarity with DCS licensing requirements and foster care regulations.
• Confidentiality is essential.
• Computer skills including Microsoft Office Suite.
• Must be 21+ with valid driver’s license and 3+ years driving experience in the U.S.
• Pass MVR check and maintain reliable vehicle with adequate coverage.
• Pass criminal history screen including state/local child protection registries.
• Commitment to agency Statement of Faith and Mission.

Responsibilities

• Serve as the initial contact for prospective SFFC inquiries with clear information on licensing requirements.
• Conduct pre-screening assessments for eligibility and readiness.
• Facilitate meetings with inquiries to orient, answer questions, and assess next steps in licensing.
• Coordinate intake and onboarding, maintaining timely progress through pre-licensing steps.
• Schedule, organize, and facilitate pre-service trainings per state and agency requirements.
• Track and monitor application progress, documentation, and deadlines for compliance.
• Maintain accurate records in agency databases.
• Collaborate with Licensing Specialists to ensure smooth transition to home study and licensure.
• Coordinate annual review and re-licensure process and ensure trainings completed on time.
• Monitor timelines and follow up with families to prevent licensure lapses.
• Support SFFC recruitment through outreach and events.
• Work with foster care supervisor to improve intake, training, and licensing workflows.
• Ensure all duties align with agency policies and DCS regulations.
• Occasional evening or weekend availability for trainings or events.
• Participate in Bethany sponsored events as needed.
• Complete other duties as assigned.
