Bethany Christian Services USA LLC is seeking a part-time Licensing & Intake Coordinator to support SFFC licensing, intake, and onboarding processes across multiple programs. You will handle inquiries, pre-screenings, and training coordination to ensure timely progression through licensing steps.

The role requires strong documentation, confidentiality, and the ability to manage multiple cases and deadlines in a faith-driven, supportive environment. Evening/weekend availability may apply.

Qualifications

• High school diploma or equivalent.
• Postsecondary education in Social Work, Human Services, or a related field preferred.
• Minimum of 2 years’ experience in child welfare, foster care, or a related human services field.
• Experience in intake, training coordination, licensing support, and foster family engagement.
• Proven ability to manage family communication, documentation processes, and compliance related tasks.
• Respect for diverse backgrounds and family systems.
• Ensure accuracy in documentation and compliance tracking.
• Strong ability to manage multiple cases, deadlines, and regulatory requirements.
• Familiarity with DCS licensing requirements and foster care regulations.
• Exercise a high level of confidentiality.
• Computer skills sufficient to perform essential functions including knowledge of Microsoft Office Suite.
• Must be 21 years old with a valid driver’s license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany.
• Must pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate coverage.
• Pass a criminal history screen, including state and local child protection agency registries.
• Subscription to and integration of the agency Statement of Faith, Mission Statement, and Commitment to Unity.

Responsibilities

• Serve as the initial point of contact for prospective inquiries about SFFC and licensing requirements.
• Conduct pre-screening assessments to evaluate eligibility and alignment with program requirements.
• Facilitate one-on-one meetings with qualified inquiries to provide detailed orientation and assess next steps in the licensing process.
• Coordinate and manage the intake and onboarding process, maintaining communication to ensure progress through pre-licensing steps.
• Schedule, organize, and facilitate pre-service training sessions in compliance with state and agency requirements.
• Track and monitor application progress, documentation, and deadlines to ensure compliance with agency and DCS standards.
• Maintain accurate and up-to-date records in agency databases.
• Collaborate with Licensing Specialists to ensure a smooth transition of families from intake to home study and licensure.
• Coordinate and assist with annual review and re-licensure process, ensuring all required documentation and trainings are completed on time.
• Monitor compliance timelines and proactively follow up with families to prevent lapses in licensure.
• Support SFFC recruitment efforts through outreach events, informational sessions, and community engagement.
• Collaborate with foster care supervisor in evaluating and improving intake, training coordination, and licensing workflow processes.
• Ensure all responsibilities are carried out in accordance with agency policies, DCS regulations, and best practices in child welfare.
• May require occasional evening or weekend availability for training sessions or recruitment events.
• Essential job responsibilities may vary based on the specific needs of each program/department.
• May be required or asked to participate in a Bethany sponsored event.
• Complete other duties as assigned.
