Qualifications

• High School Diploma or equivalent.
• Valid Driver’s license with acceptable driving record.
• Must pass pre-employment drug test and participate in random program.
• Strong organizational and time-management skills with attention to detail.
• Ability to manage multiple tasks and meet deadlines.
• Excellent written and verbal communication with vendors and internal teams.
• Proficiency with warranty management software, fleet maintenance systems, Microsoft Office and Google Workspace.
• Willing to work nights, weekends, and holidays.
• Preferred: Degree in Business Administration, Logistics, or related field.
• Experience in warranty claims processing in transportation or fleet maintenance.
• Knowledge of OEM and third-party warranty policies.
• Experience working with fleet maintenance teams.

Responsibilities

• Process warranty claims for fleet vehicles and equipment.
• Collaborate with suppliers to submit claims with required documentation.
• Serve as main contact for warranty issues between maintenance, suppliers, and the company.
• Communicate with external parties to resolve claims and track status.
• Maintain a database of all warranty claims and related documentation.
• Track warranty expirations and ensure timely submissions.
• Monitor warranty claim trends and report reimbursements.
• Provide regular reports to management on status of claims and reimbursements.
• Analyze data to identify cost-saving opportunities and process improvements.
• Ensure claims comply with manufacturer policies and regulations.
• Address denied claims and maintain accurate records for audits.
• Coordinate and communicate with dispatch when a unit needs repair.
• Process payments and issue purchase orders to vendors.
• Utilize Transman to record and monitor breakdown events.
• Communicate effectively with drivers, vendors, and customers.
• Coordinate repairs with technicians at terminals for over-road drivers.
• Travel to terminal locations as needed.
• Other related duties as assigned.
