Job summary

Patriot Disposal seeks a Fleet Maintenance Coordinator to support the Fleet Maintenance Manager and shop team. You will coordinate preventive maintenance, repairs, work orders, parts, and vendor activity for the fleet of trucks and equipment, ensuring safety, compliance, availability, and prompt return to service.

You will serve as a central communication point among maintenance, operations, drivers, and vendors, tracking status and maintaining accurate records.

Qualifications

• High school diploma or equivalent required; associate degree or technical training preferred.
• 2+ years in fleet maintenance administration, maintenance coordination, or related environment preferred.
• Working knowledge of preventive maintenance scheduling, repair documentation, and work orders preferred.
• Experience using fleet maintenance software and MS Office preferred.
• Ability to interpret maintenance information and maintain accurate records.
• Knowledge of DOT maintenance/inspection recordkeeping preferred.

Responsibilities

• Coordinate preventive maintenance, inspections, and recurring service based on mileage, hours, and manufacturer guidance.
• Monitor upcoming/overdue maintenance and communicate scheduling needs to managers and shop staff.
• Create/update/close work orders with accurate labor, parts, and dates.
• Receive driver-reported defects and DVIR deficiencies; ensure repairs and documentation are complete.
• Maintain accurate equipment status, including availability and in-service status.
• Communicate repair priorities and return-to-service status to stakeholders.
• Coordinate outside repairs and vendor support; track through completion.
• Assist with parts sourcing, pricing, approvals, and inventory accuracy.
• Review vendor estimates and invoices against work performed; route for payment.
• Maintain vendor contacts, service history, warranty information, and purchasing docs.
