Job summary

Cox Fleet keeps your fleet moving and is seeking a detail‑oriented service coordinator for on‑site mobile maintenance. You’ll answer phones, prepare repair estimates, and communicate status with customers and technicians.

Responsibilities include reviewing repair orders, obtaining approvals, and dispatching work while maintaining accurate records in DFS systems and ensuring safety standards.

Qualifications

• High School Diploma or GED with 3 years' related experience, or 5 years' related experience.
• Strong verbal and written communication, plus listening skills.
• Familiarity with Karmak, ADP, Reynold, RO Writer or similar programs.
• Proficient in Windows Office and able to learn DFS IT Systems such as Web Wrench, MobileFrame, RO Writer.
• General understanding of DOT and vehicle maintenance regulations.
• Ability to multi-task and take initiative.
• Positive attitude, good instincts, and self-motivation.
• Excellent organizational skills.

Responsibilities

• Help answer phones and assist service customers with vehicle repairs and maintenance, provide cost estimates and timelines.
• Create estimates aligned with customer needs, cost, quality, and lead time.
• Communicate repair updates via email, fax, or phone and obtain approvals.
• Review repair orders for accuracy and proper symptom/problem descriptions.
• Enter RO into service database and manage lifecycle from origination to custody.
• Obtain customer approval for repairs and services performed.
• Dispatch and assign shop work to technicians.
• Collaborate with technicians, sales staff, and customers to ensure excellent service and cost efficiency.
• Maintain documentation in DFS systems for each vehicle repair.
• Build relationships with customers, vendors, and partners.
• Uphold safety and quality standards in service delivery.
