Job summary

Cox Fleet is hiring a Shop Service Writer to support growth at this location. You will help answer phones, prepare cost estimates, and communicate repair status to customers.

You will review repair orders, manage the lifecycle of repair transactions, obtain approvals, and dispatch work to technicians while collaborating with sales and service staff. The role emphasizes accurate documentation, strong communication skills, and adherence to safety and quality standards in a fast-paced fleet

Qualifications

• High School Diploma/GED with 3 years of related field experience.
• Alternative combinations such as a degree/certification beyond HS are acceptable.
• Strong verbal and written communication to interact with customers, employees and vendors.
• Familiarity with Karmak, ADP, Reynold, RO Writer or similar programs.
• Proficiency with Windows Office and the ability to learn DFS IT Systems (Web Wrench, MobileFrame, RO Writer).
• Knowledge of Department of Transportation (DOT) and related regulations affecting vehicle maintenance.
• Ability to multi-task and take initiative.
• Positive attitude, good instincts and self-motivation.
• Excellent organizational skills and task balance.

Responsibilities

• Answer phones and assist service customers with vehicle repairs and maintenance estimates.
• Create estimates aligned with customer needs, cost, quality, and lead time.
• Communicate updates to customers via email, fax, or phone; obtain approvals.
• Review repair orders for accuracy and capture symptoms, problems, causes, and services.
• Manage transaction lifecycle from origination to customer custody of repair.
• Obtain customer approvals for repairs and services performed.
• Dispatch shop work to technicians and coordinate with staff and customers.
• Maintain DFS system documentation and ensure accurate records for each vehicle repair.
• Build and maintain relationships with customers, vendors, and partners.
• Uphold organization standards and safety policies to ensure quality service.
