Job summary

Cox Fleet is hiring a Shop Service Writer to support our field service operations and on-site maintenance teams. The role involves handling customer communications, preparing repair estimates, and managing repair orders from start to finish.

You will collaborate with technicians, sales, and customers to ensure timely, cost-effective repairs while maintaining thorough documentation and strong safety practices.

Qualifications

• High School Diploma/GED with 3 years’ related experience; or an equivalent combination
• 5 years’ related field experience
• Strong verbal and written communication
• Familiarity with Karmak, ADP, Reynold, RO Writer or similar programs
• Strong computer skills and Windows Office; ability to learn DFS IT Systems (Web Wrench, MobileFrame, RO Writer)
• Knowledge of DOT, federal/state/local regulations affecting vehicle maintenance operations
• Ability to multi-task and take initiative
• Positive attitude and good organizational skills

Responsibilities

• Answer phones and assist service customers with vehicle repairs and maintenance estimates
• Create cost estimates aligned with customer needs, cost, quality, and lead time
• Communicate updates to customers via email, fax, or phone; obtain approvals
• Review repair orders for accuracy and input them into the service system
• Manage transactions lifecycle from origination to customer custody of unit
• Obtain customer approval for all repairs and services
• Dispatch shop work to technicians
• Collaborate with technicians, sales staff, and customers to ensure quality service and cost efficiency
• Maintain documentation in DFS systems for each repair
• Build good relationships with customers, vendors, and partners
• Maintain quality service by enforcing standards and safety policies
