Job summary

The South Carolina Department of Juvenile Justice (DJJ) seeks a Vehicle Administrator to plan, coordinate, and administer operational support for Fleet Services. You will manage the motor pool, track fleet data, and ensure vendor contract compliance for fleet, waste management, and recycling services.

You will provide exceptional customer service, custodial support, and process-improvement initiatives while ensuring compliance with state guidelines.

Qualifications

• High school diploma required; bachelor’s degree may substitute for experience.
• Valid driver’s license in good standing.
• Experience with fleet management or administrative duties.
• Proficient with Microsoft Word and Excel.
• Strong data entry and organizational skills.

Responsibilities

• Assist with daily management, distribution, and tracking of the agency fleet to optimize resources.
• Support fleet policies, safety guidelines, and standard operating procedures.
• Maintain fleet paperwork, logs, and maintenance history.
• Process fleet invoices, reconcile receipts, and track vendor contracts.
• Oversee daily motor pool operations: vehicle assignments, logs, fuel cards, PINs, insurance docs.
• Coordinate with drivers, insurers, and State Fleet Management to resolve accidents or damage workflows.
• Oversee Waste Management, Recycling, and related contracts and invoices.
• Conduct routine dumpster/recycling bin inspections for vendor compliance.
• Serve as backup for agency mail operations: sorting, processing, and distribution of mail and parcels; operate mail vehicles.
• Coordinate car wash/detailing and transport vehicles for maintenance.
• Create Shopping Cart in SCEIS for Support Services; initiate electronic requests per state guidelines.
• Assist with purchase orders tracking and verification for accurate accounting.
