Job summary

Cox Automotive Inc. is seeking a detail-oriented Service Coordinator to support fleet maintenance operations. You will act as the front line for customers, schedule repairs, and help ensure timely, accurate service delivery.

Responsibilities include creating estimates, coordinating with technicians, and documenting activities across DFS systems to uphold quality and safety standards. This role requires strong communication and multitasking in a fast-paced environment.

Qualifications

• HS diploma or GED with relevant field experience; or other combinations beyond HS in related discipline.
• Strong verbal and written communication and listening skills.
• Familiarity with Karmak, ADP, Reynolds, RO Writer or similar programs.
• Strong computer skills and ability to learn DFS IT Systems like Web Wrench, MobileFrame, RO Writer.

Responsibilities

• Answer phones and assist service customers with repair and maintenance needs.
• Create estimates aligned with customer cost, quality, and lead time.
• Communicate updates to customers via email, fax, or phone.
• Review repair orders for accuracy and ensure proper symptom/problem/causes are described and captured.
• Manage transactions lifecycle from origination to custodian handoff.
• Obtain customer approvals for repairs and services performed.
• Dispatch and assign shop work to technicians.
• Collaborate with technicians, sales staff and customers to control costs and identify best repair solutions.
• Document notes in DFS systems for each vehicle repair.
• Foster good relationships with customers, vendors, and partners.
• Maintain quality service by enforcing organization standards and safety policies.
