Job summary

NAFA Fleet Management Association is seeking a Facilities Assistant to support administrative duties, consumables, inventory, and the coordination of vehicle maintenance across the company fleet.

You will act as a lead in the absence of the Facilities Manager, process work orders, monitor maintenance, and ensure proper safety practices are followed. A Wisconsin driver’s license is required for this role.

Responsibilities

  • 1. Serve as back-up operational lead when Facilities Manager is unavailable.
  • 2. Operate and maintain Facilities Helpdesk system, process and monitor work orders for repairs and maintenance.
  • 3. Coordinate maintenance work requests with Facilities Manager and close tickets.
  • 4. Review monthly fuel receipts for misuse or fraud; report suspicious activity.
  • 5. Facilitate consumable purchase orders and in-house delivery.
  • 6. Maintain basic vehicle upkeep and monthly inspection records.
  • 7. Coordinate conference room and lobby set-up, office relocations and moving supplies.
  • 8. Perform basic manual repairs as needed.
  • 9. Conduct general upkeep for landscaping and parking areas.
  • 10. Collaborate with staff at all levels to achieve goals as directed by manager.
  • 11. Communicate daily assignment issues to the on-duty manager.
  • 12. Attend safety briefings and trainings as required.
  • 13. Participate in department quality planning and performance metrics analyses.
  • 14. Maintain valid Wisconsin driver’s license without disqualifying restrictions and an acceptable motor vehicle record.
  • 15. Maintain vehicle liability insurance if driving own vehicle.
