Job summary

Toyota North America is seeking a Demand and Supply Administrator in Irvine, CA to manage the office's pool fleet, ensure availability, and coordinate fleet-related activities for business operations.

Reporting to the Demand and Supply Manager, you will support a compliant, cost-controlled fleet program and align with internal customers and dealer partners. Residency within commuting distance is expected.

Qualifications

• Bachelor's degree or higher, or equivalent professional experience.
• Strong communication and coordination with internal stakeholders and external vendors.
• Strong organizational and administrative skills with ability to manage multiple priorities.
• Working knowledge of Microsoft Excel, PowerPoint, Word, and other reporting tools.
• Demonstrated ability to identify process improvement opportunities and support operational efficiency.

Responsibilities

• Monitor and manage daily pool fleet operations, including vehicle availability, assignments, returns, and utilization.
• Coordinate vehicle requests, reservations, and scheduling to support business needs.
• Track fleet inventory, mileage, maintenance status, fuel usage, and service records.
• Communicate with drivers, departments, vendors, and service providers to resolve fleet issues.
• Coordinate preventive maintenance, repairs, inspections, registration, and other vehicle activities.
• Support compliance with company policies, safety standards, and fleet regulations.
• Maintain records and reporting for vehicle usage, expenses, downtime, and KPIs.
• Identify opportunities to improve fleet efficiency and reduce downtime.
• Support incident reporting, vehicle damage follow-up, and insurance coordination.
• Assist with budgeting, forecasting, and expense tracking for fleet costs.
• Develop and maintain standard work, tracking tools, and process documentation for fleet ops.
• Support Region initiatives and cross-functional projects for LA Region and dealers.
