Job summary

Toyota Motor Engineering & Manufacturing North America, Inc. in Irvine, CA is seeking a Demand and Supply Administrator to manage the office pool fleet and ensure reliable availability for internal customers.

You will coordinate fleet-related activities and maintain efficient controls to meet operational needs. Reporting to the Demand and Supply Manager, you will support budgeting, vehicle maintenance scheduling, and cross-functional projects.

Qualifications

• Bachelor's degree or higher required.
• Strong communication and coordination skills with internal stakeholders and external vendors.
• Ability to manage multiple priorities and maintain accurate records.
• Experience with data tracking, reporting, and record maintenance.

Responsibilities

• Monitor and manage daily pool fleet operations, including vehicle availability and utilization.
• Coordinate vehicle requests, reservations, and scheduling to support business needs.
• Track fleet inventory, mileage, maintenance status, fuel usage, and service records.
• Communicate with drivers, departments, vendors, and service providers to resolve fleet issues.
• Coordinate preventive maintenance, repairs, and inspections.
• Support compliance with policies, safety standards, and fleet regulations.
• Maintain records and reporting for vehicle usage and KPIs.
• Identify opportunities to improve fleet efficiency and reduce downtime.
• Support incident reporting and insurance coordination as needed.
• Assist with budgeting, forecasting, and expense tracking for fleet costs.
• Develop and maintain standard work and process documentation.
