Job summary

W3Global is seeking a detail-oriented Logistics Coordinator focused on Airfreight and Import/Export to manage high-value shipments including fine art, antiques, and collectibles in Edison, NJ. You will coordinate shipments from booking to final delivery, handle documentation, engage with airlines and customs brokers, and ensure compliance and timely execution.

The ideal candidate will have 5+ years in international logistics, strong communication skills, and proficiency with logistics software

Qualifications

• 5+ years of experience in logistics, freight forwarding, international shipping, airfreight, or import/export operations.
• Strong working knowledge of airfreight procedures and international transportation.
• Experience preparing and reviewing import/export documentation.
• Familiarity with U.S. Customs and Border Protection procedures and customs brokerage.
• Experience working with freight forwarders, airlines, customs brokers, and international carriers.
• Strong understanding of shipment tracking, routing, freight rates, and transportation documentation.
• Excellent organizational and time-management skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple shipments and priorities in a fast-paced environment.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office, Google Workspace, and logistics/shipping software.

Responsibilities

• Coordinate domestic and international airfreight shipments from booking through final delivery.
• Obtain and compare airfreight rates, transit times, routing options, and service levels.
• Book shipments with airlines, freight forwarders, consolidators, and specialized transportation providers.
• Coordinate airport pickups, deliveries, transfers, and warehouse handling.
• Track shipments throughout the transportation process and proactively address delays, exceptions, or routing issues.
• Coordinate shipments involving oversized, fragile, high-value, or time-sensitive works of art.
• Ensure appropriate handling, packing, palletization, crating, and transportation requirements are communicated to all parties.
• Coordinate domestic transfers and international shipments between facilities and third-party warehouses.
• Prepare and review commercial invoices, packing lists, air waybills, certificates of origin, export documentation, and other required shipping documents.
• Coordinate with customs brokers and government agencies to facilitate timely customs clearance.
• Ensure accurate commodity descriptions, values, quantities, country-of-origin information, and other required shipment data.
• Assist with determining appropriate customs classifications, duties, taxes, and other import/export requirements.
• Monitor shipments requiring customs clearance and promptly resolve documentation discrepancies or holds.
• Maintain accurate records of import/export documentation and shipment files.
• Ensure shipments comply with applicable U.S. and international customs and transportation regulations.
• Coordinate temporary imports/exports, returns, exhibitions, fairs, loans, and other specialized movements when required.
• Coordinate transportation for auction houses, galleries, collectors, dealers, museums, and private clients.
• Understand the specialized requirements associated with transporting artwork, antiques, jewelry, collectibles, and other high-value property.
• Review dimensions, weights, values, packing requirements, and destination restrictions to determine the appropriate transportation method.
• Coordinate insured transportation and ensure shipment values and documentation are accurate.
• Work closely with packing, warehouse, shipping, and art-handling teams to ensure shipments are ready for collection and export.
• Escalate potential damage, loss, customs, or delivery issues immediately.
• Maintain accurate shipment records and statuses within internal systems.
• Provide proactive updates to clients and internal stakeholders regarding shipment progress, delays, customs clearance, and delivery schedules.
• Respond promptly to inquiries from auction houses, clients, carriers, brokers, and internal teams.
• Coordinate with operations teams across domestic and international facilities.
• Review pending orders and identify shipments requiring additional documentation, customs clearance, special handling, or expedited transportation.
• Maintain organized digital records for all international shipments.
• Identify opportunities to improve routing, carrier selection, cost efficiency, and transit times.
