Job summary

JLL is seeking a Facility Coordinator in San Jose, CA to support the facility management team with budget tracking, invoice processing, and vendor coordination on-site.

The role combines hands-on facility operations with financial administration, requiring proactive planning, strong customer service, and Excel proficiency. On-site duties include coordinating maintenance and ensuring seamless operations for clients and colleagues.

Qualifications

• High school diploma or GED required.
• 2+ years' experience in facility management, property administration, or office operations.
• 1+ years' experience with accounts payable, invoice processing, or budget tracking.
• Superior customer service skills and professional communication.
• Advanced proficiency in Excel including formulas, pivot tables, and financial reporting.
• Experience with work order management systems (Corrigo preferred).

Responsibilities

• Assist the Facility Management Team with tactical planning and provide operational insights.
• Process and track facility-related invoices, purchase orders, and expense reports accurately.
• Maintain budget tracking spreadsheets and support accounts payable/receivable activities.
• Provide facility-specific assistance to the project management team as needed.
• Manage small facility tasks ensuring timely completion and quality execution.
• Coordinate maintenance activities with vendors to minimize disruption.
• Monitor office/facility operations to identify and address issues proactively.
• Deliver superior service and provide guidance to vendors and facilities staff.
