Facility Operations Assistant – Outdoor Support Team Members

Responsibilities

Take Pride in being a Student Employee in the University of Virginia Department of Recreation (UVA Rec).

Establish a service focused rapport and relationship with Student and Departmental Staff, Members and Guest of the Facility.

Promote Exceptional Customer Service to create a positive environment for members and guests.

Take Initiative, be proactive, and be confident in decision making.

Be proactive and prepared to respond to all emergency situations and follow procedure/protocol for pre and post Incident/Accident.

Maintain a Standard of Excellence in professionalism and cleanliness.

Serve as a key link between Members, Facility Operations Supervisor, and Full‑Time Staff by enforcing policies and procedures as set forth by the department.

Area Specific Responsibilities

Customer Relations / Service

• Provide a quality customer‑service experience to all guests entering the indoor and outdoor facility based upon departmental Core Values; serve as information agents of UVA Rec indoor and outdoor facilities, programs, and services.
• Responsible for presenting a welcoming, informed, professional reception and departure culture at welcome desks; actively monitor student, member and guest access to UVA recreational facilities.
• Provide excellent customer service to create a positive environment for students, members, and guests; stay actively attentive to incoming and departing guests; make guests feel special and personally supported.
• Provide customer support services by lending equipment, towels, keys; renting lockers; processing guest and group exercise memberships through Innosoft Fusion.
• Consistently provide a positive welcoming image of reception desks; wear visible nametags, logoed staff shirts; welcome and thank patrons regularly.
• Refer difficult transactions to either the Facility Supervisor or Business Office as appropriate.

Facility Operations

• Maintain cleanliness of fitness equipment by completing regular cleaning rounds, adhering to the Fitness Equipment Cleaning Schedule and plan.
• Assist the Facility Operations Supervisor with daily outdoor facility operations, including opening and closing procedures and daily tasks.
• Support the Facility Operations Supervisor with continuous maintenance and preparation of all areas including outdoor basketball courts, Snyder tennis courts, Carr’s Hill Field, and all other outdoor spaces in the precinct; assist with event and reservation preparations and support.
• Maintain safety throughout the facility and outdoor spaces by fulfilling assigned safety roles, including assisting with executing Emergency Action Procedures.
• Adhere to and enforce University and Departmental policies and procedures.

Qualifications

• Successful completion of department training.
• Attend regularly scheduled Facility Service Assistant staff meetings and in‑service sessions.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
