Job summary

San Manuel Band of Mission Indians seeks a Senior Administrative Assistant for Facilities to provide high-level support to department leadership and coordinate across multiple teams. The role requires independent judgment and confidential handling of time-sensitive tasks to improve operational efficiency.

The position covers budget preparation, GL analysis, asset tracking, payroll coordination, and vendor contract management, while ensuring compliance with policies.

Qualifications

• High School Diploma or GED required.
• Associate’s degree in Business preferred.
• Minimum five (5) years of related administrative experience required.

Responsibilities

• Provides high-level administrative support to department leadership and safeguards confidential records.
• Leads annual operating budgets for multiple cost centers and performs GL analysis with variance explanations.
• Manages employee timekeeping and payroll processes for accurate pay processing.
• Oversees processing of quotes, proposals, and invoices, and tracks expenditures with budget accuracy.
• Manages vendor service contracts and communicates upcoming expirations.
• Prepares diverse business documents and manages departmental credit card programs and monthly reconciliations.
• Manages office supply inventory and procurement, tracks work orders, and coordinates employee recognition events.
• Performs other duties as assigned to support department efficiency.
